Minutes for JCR Committee Meeting, 14th May 2003

Summary of Main Points of Meeting:

  1. Welcome
    • The minutes of the last meeting were approved
    • Matters arising:
      • £15 electrical testing charge being followed up with Bursar by Ian
      • Not much interest in laundry service but Malcolm to investigate boxes for laundries (how best to prevent theft?)
      • College are happy with proposed Superhall (see also item 7). Hopefully could be termly event.
      • Ian has investigated the practice of sconcing. Unlikely to be revived.
  2. House of Commons party
    • Good take-up so far.
    • Encourage people to submit applications soon, before alumni replies return.
  3. Dean's statement to students, its publicity
    • Statement available here
    • Another statement was read out to the JCRC summarising the evidence given to the Disciplinary Committee
    • Concern about poor handling of distribution of statement. Has now been circulated to all students by email, much more satisfactory
    • Concerns about appearance of statement on website seem to be cleared up. Title of news item has been changed
    • Discussion of legal implications of Disciplinary Committee's decisision and statement
  4. JCRC internal communication
    • Discussion prompted by a flurry of emails on the jcr-officers mailing list yesterday
    • Katie pointed out that face-to-face meetings are best
    • Tony added that email discussions work well only when people are in general agreement
    • James requested that JCRC meetings are more frequent, certainly weekly. Too much happens in between meetings!
    • Ian expressed concern that private emails be kept private.
    • Matthew asked that people use the email list more to seek guidance about what they are doing... important to consult with other members first before ploughing ahead. Also want better communication with College.
    • Tony proposed a set of guidelines for dealing with cross-committee issues that emerge. To be drafted by Matt and Tony
  5. Customised stationery
    • Post-it note campaign appears to have been effective! Though did people come to the open meeting because of the motions, or the improved advertising? Campaign at least shows we are making an effort to encorage people to attend.
    • Josh proposed purchasing branded Downing JCR post-it notes for future use, this can be done quite cheaply. This was approved unanimously.
  6. SMS update
    • Good takeup - 47 so far, about 50/50 split between plodge and web.
    • Maybe use to publicise JCR Garden Party
  7. Harry Potter party and other ents
    • Josh outlined a wizard idea for a May Week event... a Harry-Potter themed party, possibly to coincide with the release of HP5. Themed formal and bars, costumes, Quidditch etc.
    • Sounded fun, though timing has to be sorted.
    • Superhall - Saturday 14th June? £7.50pp
    • Ian and Josh have been doing 'research' into use of Light on Regent Street as a venue
  8. Results of DCAC and JCR Open Meeting 13/5/03
    • See minutes
    • Smoking motion defeated, others passed. Bar ventilation options to be investigated.
  9. Freshers Committee update
    • On track
    • Will be similar to last year, with improvements (including better billing system)
  10. JCR Garden Party update
    • Tony/Farzana: Plans for garden party proceeding well
    • Thursday 19th June, 4pm-7pm
    • Proposed increase of ticket price of £6 was approved (but no more)
    • BBQ, jazz band, drinks (but not sparkling wine), John Persaud DJing and other entertainment
    • JCR only - no fellows
  11. Any Other Business
    • Scudamores Punt scheme - renewed at cost of £100
    • Will discover May Week bar opening times on Monday
    • Wayfinding committee - better signage
    • Additional keys to be cut (Ian to follow up)
    • 50 year Chapel Commemoration service on June 22nd, 50 undergrads invited including JCRC
    • Matthew will remember to bring doughnuts again next time (Tuesday 20th, 7pm).
